Definitions

"Conference" means Visualising Climate Conference 2026 taking place on 4 - 6 November 2026 at ECMWF Duty Station in at Tecnopolo di Bologna, Via Stalingrado 84/3, 40128 Bologna, Italy.

"Fees" means all registration fees, additional service fees, and other charges payable for participation in the Conference.

"Organisers" means collectively:

The European Centre for Medium-Range Weather Forecasts (ECMWF), an inter-governmental organisation governed by its Convention and Protocol and with its Headquarters located at Shinfield Road, Reading RG2 9AX in the United Kingdom, acting through its establishment on the territory of the Italian Republic, the ECMWF Data Centre in Bologna (Italian fiscal code no. 91148050684), located at ECMWF, Via Stalingrado 84/3, Bologna, 40128, Italy,

The University of Miami, a private research university, on behalf of its Frost Institute for Data Science and Computing (“IDSC”), with offices located at 1552 Brescia Avenue, Coral Gables, FL 33146,

Consejo Superior de Investigaciones Científicas (Spanish National Research Council CSIC), a public research organization represented throughout its research centre Mission Biológica de Galicia located at Avda. de Vigo. s/n. 15705 Santiago de Compostela, Spain,

Barcelona Supercomputing Centre (BSC), the leading supercomputing center in Spain, with its registered office at Plaça d’Eusebi Güell, 1-3, 08034 Barcelona, Spain,

Basque Centre for Climate Change (BC3), an international, multidisciplinary research institute based in Bilbao, Spain. It was established in 2008 by the Basque Government and the University of the Basque Country. BC3 is located at Edificio Sede 1, 1st Floor, Parque Científico UPV/EHU, B/Sarriena s/n, 48940 Leioa, Biscay.,

The University of Twente, a public university, located at Drienerlolaan 5, 7522 NB Enschede, The Netherlands, and

Information Design Lab is a socially conscious information design organisation located in Oslo, Norway. Infodesignlab AS, Olav Nygards Veg 144, 0688 Oslo, Norway. Org no: NO 916795807 MVA.

"Participant" means any natural person individually or representing a legal entity/organisation registered to attend the Conference.

"Registration Provider" means the University of Miami, which provides registration and logistics services on behalf of the Organisers.

“Terms and Conditions” means the terms and conditions laid out in this document governing the participation in the Conference organised by the Organisers.

Application and Acceptance

These Terms and Conditions govern participation in the Conference and the relationship between Participants and the Organisers to this effect.

By submitting the online registration form, the Participants accept and agree to be bound by these Terms and Conditions.

The Organisers reserve the right to accept or reject any registration at their sole discretion.

Registration

Registration shall be executed by filling in and submitting the online registration form available on the Conference website https://visualisingclimate.com/ not later than 1 November 2026.

Registrations are personal and non-transferable. Bulk registrations for representatives of one and the same legal entity/organisation are not possible.

After submitting the online registration form, the Participant will receive an automated confirmation of receipt by e-mail. The final confirmation of the booking does not take place with this, but only with the separate receipt of the payment confirmation. The Participant is only authorised to take part in the Conference once the full amount of the Fees has been received by the Registration Provider.

Fees

The Fees published on the Conference website apply. Fees are stated in USD and include in-person access to sessions, conference materials, coffee breaks, and lunches. Travel and accommodation are not included in the Fees.

The amount of the Fees depends on the type of Participant and the payment date of the Fee:

  • Early registration rates of the Fees apply if the registration is completed and the Fees are received in full by the Registration Provider until 1 June 2026.
  • If the registration is completed and/or the full payment of the Fees is received by the Registration Provider after 1 June 2026 standard rate of the Fees apply.

4.2.3 Registration rates are as follows: 400 USD for general admission (350 USD for early registration), 60 USD for student admission.

All Fees must be paid in full at the time of registration unless otherwise agreed in writing. In the event of default in payment, the Organisers may demand the statutory default interest rate. The Organisers reserve the right to claim higher default damages.

Payment processing will be handled by the Registration Provider through secure third-party payment processors. The Organisers are not responsible for payment processing errors or delays.

Payment of Fees onsite shall not be allowed.

Invoices and receipts will be provided by the Registration Provider in accordance with the applicable US tax laws. Changes to invoices are limited to the invoice address or order references and shall be requested no later than six (6) weeks after the last day of the Conference.

Cancellation or Modification of the Conference

The Organisers reserve the right to cancel, postpone, or modify the Conference format (including converting to virtual or hybrid format) due to circumstances beyond their reasonable control.

In the event of cancellation, Participants will be offered either:

  • A full refund of Fees paid (minus non-recoverable costs if any); or
  • If the Conference is rescheduled, transfer of registration to the rescheduled event.

The Organisers shall not be liable for any travel, accommodation, or other costs incurred by Participants in relation to the Conference.

Participant Obligations

Participants agree to:

  • Provide accurate and complete registration information;
  • Comply with all Conference rules and venue regulations;
  • Conduct themselves professionally and respectfully; and
  • Respect the intellectual property rights of presenters and other Participants.

Participants must not engage in any conduct that:

  • Disrupts the Conference or interferes with other Participants' experience;
  • Violates applicable laws or regulations; and
  • Constitutes harassment, discrimination, or threatening behaviour.

The Organisers reserve the right to remove any Participant who violates these Terms and Conditions without refund.

Intellectual Property

All Conference materials, presentations, and content remain the intellectual property of the respective presenters and/or Organisers.

Intellectual property rights, copyright, and other protective notices may neither be removed nor violated in any other way.

Recording (audio, video, or photographic) of Conference sessions is prohibited unless expressly authorised by the Organisers.

Participants may take notes for personal use but may not reproduce or distribute Conference materials without prior written permission.

Violations of the provisions of this Article constitute a breach of law which can be subject to both civil and criminal prosecution.

Photography and Publicity

The Organisers via official and recognisable staff may photograph, film, or otherwise record the Conference for promotional, archival, and reporting purposes.

By participating, Participants consent to the use of their image and likeness in Conference-related material. To opt out, participants should email hello@visualisingclimate.com prior to the event.

Participants who do not wish to be photographed or filmed should notify the Organisers and may be provided with identification indicating their preference.

Personal Data Protection

Personal data provided during registration and/or in relation to the participation in the Conference will be processed by the Registration Provider and the Organisers in accordance with:

  • The EU General Data Protection Regulation (GDPR) (Regulation 2016/679).
  • Applicable US data protection laws.

The Registration Provider shall act as the primary data controller for the purposes of registration administration, and the Organisers shall act as joint controllers for the purposes of the organisation and conduct of the Conference.

ECMWF, an ‘international organisation’ under Chapter V of the GDPR, complies with its own policies and procedures in respect of the protection of personally identifiable information, notably the above-mentioned Policy for Personally Identifiable Information Protection, as amended.

As a rule, the Organisers will compile a list of Participants for the Conference, which will only contain the Participant’s first name and surname, the title, affiliation, which is made available to all Participants at the Conference.

The list of Participants does not contain the contact details (email address) they have provided when registering. These contact details will not be published by the Organisers either.

If a Participant does not want their personal details to appear on the aforementioned list of Participants, they shall inform the Registration Provider at the latest seven (7) days before the start of the Event (by sending an e-mail to idsc@miami.edu).

The personal data of the Participants collected during the organisation and conduct of the Conference will be used for:

  • Processing registrations and payments;
  • Communicating Conference information;
  • Managing Participant’s participation in the Conference and related activities;
  • Logistical activities related to the organisation and conduct of the Conference;
  • Issuing certificates of attendance;
  • Conducting post-Conference surveys and evaluations; and
  • Complying with legal obligations.

The University of Miami, as the Registration Provider, may process and transfer personal data between the European Economic Area (EEA) and the United States.

At present, the University of Miami is not listed as a certified participant under the EU-U.S. Data Privacy Framework.

By registering for the Conference, you acknowledge and consent to such transfers, which will be carried out using appropriate safeguards in compliance with GDPR and applicable U.S. data protection laws.

Participants have the right to access, rectify, erase, restrict processing, object to processing, and port their personal data in accordance with applicable data protection laws.

Participants may opt out of receiving promotional communications at any time.

Participants can exercise their rights as listed in this paragraph at any time by sending a written request, accompanied by a copy of an official identification document, to hello@visualisingclimate.com.

Liability and Insurance

Participants attend the Conference at their own risk. Participants are strongly advised to obtain adequate travel and health insurance covering participation in the Conference.

Other than in cases of intentional or grossly negligent breaches of duty by its staff or representatives or claims resting on an injury to life, body, or health, the Organisers shall not be responsible or liable to any Participant for any loss or damage of any sort incurred in connection with their participation in the Conference.

The presentations will be held by carefully selected and qualified speakers. However, the Organisers shall not be responsible or liable for the accuracy, usefulness, or availability of any content provided during or in relation to the Conference.

Any content made available during or in relation to the Conference is supplied “as is” without further warranties of any kind, either express or implied, including, but not limited to, the quality, performance, merchantability, or fitness for a particular use or purpose.

Subject to the aforesaid, the Organisers shall not be liable for any damages, including but not limited to direct, indirect, special, incidental, punitive, exemplary, or consequential damages arising out of the use or the inability to use content.

The Organisers disclaim all warranties related to the organisation and conduct of the Conference.

The Organisers shall not be liable for items brought into the venue (cloakroom, valuables, etc.). The house rules of the venue apply.

Force Majeure

The Organisers shall not be liable for any failure or delay in performing their obligations due to circumstances beyond their reasonable control, including but not limited to:

  • Acts of God, natural disasters, epidemics, pandemics;
  • War, terrorism, civil unrest;
  • Government actions, restrictions, or prohibitions;
  • Strikes, labour disputes; and
  • Failure of utilities, telecommunications, or transportation systems.

The Organisers will immediately inform the Participants of the existence of such a force majeure event and take appropriate measures to keep the period of the force majeure event and its effects as limited as possible.

Governing Law and Dispute Resolution

The parties shall attempt to resolve any disputes arising from these Terms and Conditions through good faith negotiation.

If any dispute arising out of, or relating to, the Conference cannot be resolved amicably by negotiation, it shall be finally settled under the Rules of Arbitration of the International Chamber of Commerce by three arbitrators appointed in accordance with the said rules; sitting in London, England.

The proceedings shall be in the English language.

The right of appeal by either party to any national courts is hereby agreed to be excluded.

Nothing in or relating in these terms and conditions shall be deemed a waiver of any of the privileges and immunities conferred upon ECMWF by virtue of its Convention and Protocol on the Privileges and Immunities.

Recourse to regular courts of law, also in cases of injunctive relief, is excluded.

It is the intention of the parties that these Terms and Conditions shall comprehensively govern the legal relations between the parties, without interference or contradiction by any unspecified law.

Without prejudice to ECMWF’s status as an intergovernmental organisation, reference shall be made to the substantive laws of England and Wales where:

  • A matter is not specifically covered by these Terms and Conditions; or
  • A provision of these Terms and Conditions is ambiguous or unclear.

The United Nations Conventions on Contracts for the International Sale of Goods shall not apply.

General Provisions

These Terms and Conditions constitute the entire agreement between the Participants and the Organisers regarding the participation in the Conference.

The Organisers reserve the right to amend these Terms and Conditions at any time. Material changes will be communicated to registered Participants via email.

If any provision of these Terms and Conditions is found to be invalid or unenforceable, the remaining provisions shall continue in full force and effect.

The Organisers' failure to enforce any right or provision shall not constitute a waiver of such right or provision.
